Creating an Encumbrance Journal

INSTRUCTIONS
STEP 1
Navigate to the desired page (see above path) and select create
journal entries.
The Business Unit defaults based on the Operid Business Unit (ex.
00730), the Journal ID defaults to NEXT which assigns the next
available journal value, and the Journal Date defaults to the current
date.
Click on the Add button.
STEP 2
Enter the following Header information:
Long Description: Brief description of current transaction.
Reference #: Departmental Reference
Click on to click on appropriate commitment “Encumbrance”.
STEP 3
Choose then click on .
This is a Commitment Control Budget Amount Type option. An encumbrance
is the amount that you can legally spend based on a contract or a
purchase order.
STEP 4
Enter the following Lines information:
Note: Encumbrance Journals will only require a one line item entry.

Account: 52503
Fund: 1040
DeptID: H0264
Program: h2380
Project: NA
Budget Reference: BP2004
Amount: 989.32
STEP 5
Choose Edit Journal: Initiates the journal edit process as well as the
Budget Checking Process.
Then Click on .
Step 6
The Recording (Actuals) ledger is not updated. It does, however,
update any commitment control budget detail ledger associated with the
Recording ledger (Ledger KK), which is an encumbrance ledger and is
eligible based on the ChartFields on the journal line.
The Encumbrance Journal has now been assigned a Journal ID # and the
Journal Status and Budget Status show as Valid .
Step 7
To View and Print Encumbrance Journal click on the Documents Tab
of the above item and the link appears.
Click on this link.
Results
Encumbrance Journal Detail is Displayed.
